Applies to All Travelers Booking with Where in the World | Destinations Travel Agency
1. Acceptance of Terms
By booking any travel services with Where in the World | Destinations Travel Agency ("the Agency"), you, the traveler, agree to abide by the following Terms of Service (TOS), which are legally binding. Failure to comply with these terms may result in denied services, cancellations, or additional fees.
2. Research and Planning Fee
An initial Research and Planning Fee of $35 per submission is required for all travel inquiries, including solo travelers, duos, couples, small groups, large groups, and corporate entities. Additionally, a New Client Intake Profile Deposit is required as follows:
$250 per traveler
Up to $500 per traveler to secure exclusive or high-demand destinations
These fees are non-refundable and applied toward trip planning and destination research.
3. Passports and Travel Documentation
All travelers over the age of 18 must possess a valid government-issued passport for any international travel outside the U.S. and its territories. Passports must be valid for at least 6 months beyond the return travel date. Travelers must upload a copy of their passport and/or REAL ID via our secure document portal no later than 30 days prior to the scheduled departure.
Failure to upload valid documentation 48 hours prior to departure will result in non-refundable cancellation of the planned trip.
4. REAL ID Compliance
All travelers 18 and older flying domestically must provide a REAL ID or another form of TSA-approved identification. Travelers under 18 are not required to have a REAL ID when traveling with an adult. See TSA REAL ID FAQs for further guidance.
5. Travel Insurance Disclaimer
Travelers are strongly encouraged to purchase comprehensive travel insurance. Travelers have the right to deny insurance, but in doing so must:
Sign a waiver acknowledging they declined assistance in researching, reviewing, or purchasing travel insurance.
Acknowledge that they assume full responsibility for any risks, losses, or damages that occur during travel.
If insurance is purchased independently, travelers must upload the coverage details and proof of purchase (with valid expiration date) no later than 30 days before departure.
6. Medical & Allergy Disclosure
All travelers are required to disclose any known dietary allergies, food sensitivities, or nonallergic rhinitis that may impact itinerary arrangements (cruises, hotels, restaurants, etc.). The Agency is not responsible for adverse reactions or consequences if such conditions are not disclosed in writing.
7. Emergency Contact Requirement
All travelers aged 18 or older must provide an emergency contact name, phone number, and relationship to traveler before departure.
8. Payment Responsibilities & Schedules
a. Payment in Full
Travelers must pay the full cost of their trip no later than 48 hours prior to departure. Non-payment by this deadline will result in automatic cancellation of the trip without refund.
b. Payment Plans
Travelers who opt for a payment plan must:
Sign an ACH or credit card authorization form
Authorize scheduled automatic payments
Remain current with all scheduled payments to avoid cancellation or penalties
Standard Payment Schedule:
25% deposit at booking
25% payment 90 days before departure
25% payment 60 days before departure
Remaining balance due 48 hours before departure
Late or missed payments may result in cancellation and forfeiture of funds.
9. Loyalty Programs
It is the traveler's responsibility to provide loyalty or rewards program information for:
Airlines (e.g., SkyMiles, AAdvantage)
Cruise lines (e.g., VIFP, Crown & Anchor)
Hotels/resorts (e.g., Marriott Bonvoy, Hilton Honors)
Rental car services
Public transit cards
Rideshares (Uber, Lyft)
Attractions, activities, or excursions
Failure to submit this information prior to booking may result in forfeited rewards or status benefits.
10. ACH & Credit Card Authorization
Travelers must complete and sign a secure authorization form for:
One-time charges
Scheduled installment payments
These forms permit the Agency to debit authorized amounts for bookings, excursions, insurance, or add-ons. All personal financial data is protected using encryption and secure storage.
11. Unauthorized or DIY Travel During Planned Trips
Travelers who undertake "DIY" travel (activities, excursions, hotel changes, or transportation not arranged by the Agency) during a trip planned by Where in the World | Destinations do so at their own risk. The Agency assumes no responsibility for injury, delays, cancellations, or additional costs incurred due to independent actions.
12. Unanswered Inquiry Questionnaire Items
If a traveler leaves any required questions in the travel inquiry or intake form unanswered and an issue arises that could have been mitigated by the information, the traveler assumes full responsibility. The Agency shall not be held liable for complications, fees, or damages that result from incomplete responses.
13. Reviews, Referrals & Incentives
After returning from a fully-paid trip, travelers are encouraged to submit a review, survey, or testimonial (including optional photos or video). Upon submission, travelers will receive a Discount/Referral Code via email.
If another traveler books a trip using your code and submits their own post-trip review, you will receive an additional Discount Code for a future trip. The discount amount will be determined at the time of issuance and must be used within 12 months.
14. Final Acknowledgment & Agreement
By confirming any booking with Where in the World | Destinations, the traveler agrees to:
The comprehensive terms of service outlined above
All document and payment deadlines
All risks associated with denied services, late payments, non-disclosure, voluntary exclusions, and unanswered questionnaire items
